How do you calculate team coverage?
Subtract the people away from the people scheduled for a specific day or shift, then compare the remaining headcount with your agreed minimum. Check each responsibility separately. This free calculator checks headcount only; it cannot assess skills or decide whether a leave request should be approved.
How to use this check
- Choose a specific day or shift.
- Count the people actually scheduled and able to cover that responsibility.
- Subtract planned absences. Include other known unavailability.
- Compare the remaining headcount with the minimum your team has agreed it needs.
- Check skills and handoffs separately: three available people aren’t enough if none can handle the critical task.
Check every day of an overlapping absence
A week-long vacation can be covered Monday through Thursday and leave a gap on Friday. Run this check for each affected day and for each team or responsibility.
Worked example: a week of PTO coverage
This fictional team needs at least three people for the same responsibility each day. Six are scheduled daily. The minimum is an example chosen by this team, not a recommended staffing ratio.
Monday: 6 scheduled − 2 away = 4 available. Four available minus the minimum of three leaves a one-person headcount buffer. That is 67% of the scheduled team available, rounded to the nearest whole percent.

On Wednesday, arrange qualified cover or adjust the work plan and check again. A weekly average would hide that day’s shortfall. For partial-day absences or different shifts, repeat the calculation for each affected time window.
Enough people does not mean every task is covered
If only one of Monday’s four available teammates can handle customer escalations, confirm that person’s availability and capacity. If nobody can handle them, the responsibility is uncovered despite the headcount buffer. Check each critical responsibility separately; do not count the same person as fully available for two simultaneous assignments.

Before the absence starts
- Check the schedule: account for other leave, non-working days and partial shifts using the team vacation calendar.
- Confirm the covering owner: agree on the work, capacity and relevant skills. Naming someone is not confirmation.
- Prepare access and context: link the work, deadline and instructions. Verify access in advance; do not put passwords or private personnel information in the plan.
- Agree on escalation: state what is urgent, who can decide and who backs up the covering owner. Do not make contacting the person on leave the default.
- Plan the return: leave a brief record of completed work and open items for the returning teammate.
For a request that still needs review, attach this plan to the time-off request form. A coverage calculation does not approve or decline leave; your team must follow its own policy and applicable requirements.
