A vacation handoff, also called a handover or coverage plan, records the work that needs attention while you’re away, who owns it and when they should act.

What should a vacation handoff include?

A vacation handoff should name the covering owner for each active task, its next action, deadline, document location and escalation contact. Confirm that each owner agrees to cover. What a useful handoff looks like

Too vague: “Sam is covering the launch.”

Actionable: “The landing page is approved. Sam publishes it Tuesday after the final link check. The launch checklist is in the shared project folder. If checkout fails, pause the launch and contact Priya.”

A completed vacation handoff example

Fictional example. Replace the names, dates and document locations with your own.

Alex is away September 14–18, returning September 21. Sam has agreed to cover the launch. Alex will not monitor messages; urgent decisions go to Priya.

Work and status
Launch the autumn landing page. Copy and design are approved; publication is still pending.
Next action and deadline
Sam checks links and checkout, then publishes Tuesday, September 15, by 10 a.m. Pacific.
Documents and access
The launch checklist and approved assets are in the shared “Autumn launch” project folder. Sam confirmed access before Alex left.
If something goes wrong
If checkout fails, Sam pauses publication and contacts Priya in the launch channel. If Priya is unavailable, Dana is the backup decision-maker.
What can wait
The internal design archive can wait until Alex returns. No customer deadline depends on it.
Return check-in
On September 21, Alex reviews Sam’s launch notes and meets Sam at 10 a.m. Pacific to collect open items.

  1. Fill in the work that actually needs attention while you’re away.
  2. Get each covering owner’s agreement. Naming someone isn’t the same as confirming coverage.
  3. Check document access and upcoming deadlines together.
  4. Link the handoff from your team’s leave record or shared calendar.

How to check that your vacation handoff is ready

Walk through the plan with the person covering you before you leave. Use these checks to find missing information while there is still time to fix it.

Share the plan with a short handoff message

Adapt this message after the covering owners have agreed. Replace each bracketed field and check the document’s sharing permissions before sending it.

I’m away [start date] through [end date], returning [return date and time zone].

The agreed handoff is here: [document link].
[Owner] is covering [responsibility]; the next deadline is [date, time and time zone].
